Personal Data Protection

Partners / partnership: In the following text, “partner” / “partnership” designate partner institutions / organisations participating in INCIRCLE and likely to collect data within the framework of the project, namely all full Partners.

Supervisory Authority: independent public authority established by a member State under article 51 of the GDPR. The Supervisory Authority is the CNIL in France. The INCIRCLE project partners carefully treat all data collected as confidential and use it under the framework of INCIRCLE project activities in compliance with EU legal regulations and the Interreg MED Programme.  

All data collected and managed under the activities of the project INCIRCLE, namely accounts, public subscribers, event registrations, is in strict compliance with the new Regulation (EU) 2016/679, General Data Protection Regulation. 

The partnership appointed CIVINET CY-EL Secretariat, to act as INCIRCLES Data Protection Officer.

Who is concerned by this notice?

This notice is addressed to the following publics: 

  • project partners mentioned in the list of beneficiaries; 
  • respondents to surveys;
  • registered participants in events;
  • account owners in the exchange areas;
  • all publics registered through the projects website for surveys and events;
  • newsletters subscribers of any outsourced database application.

For what purposes do we store your data?

Project partners collect data to perform their legal obligations as co-funded EU project, in order to fund the activities of the partner institutions during the implementation of the operation.  

The scope of the data collected is the strictly necessary for each purpose, avoiding as much as possible personal information. However, no personal information is collected without the knowledge and consent of the target publics. 

No data will be shared with third parties, including other project beneficiaries, or used for unintended purposes without the express consent and prior notification of the interested people.  When personal data is collected, the purpose will be clearly expressed.

The data collected in the framework of INCIRCLE will be retained by the project partners and the Interreg MED Programme after the lifetime of the project and Programme for over 5 years, for European Union audit obligations purposes. However, after the Programme closure, the data will be archived and not used publicly.  

EXTERNAL PROVIDERS 

The INCIRCLE project may use external providers to process your personal data. You will be informed and your express consent required whenever this is the case. 

The INCIRCLE project partners make sure to demand their external providers to provide them with adequate safeguards regarding personal data protection.

External providers of INCIRCLE project will have a limited access to personal data strictly necessary for the completion of the services rendered. They will also be contractually bound to use the personal data in compliance with the current regulation regarding personal data.

What about cookies and tracking technologies?

The Programme web platform collects and stores information using cookies and similar tracking technologies to track web behaviors. We use this information to provide analytics of only statistical nature. 

How can you control your data with us?

According to GDPR Regulation (EU) 2016/679 all interested and concerned people have a right to information regarding their personal data, as well as a right to rectification or erasure, restriction of processing, or to lodge a complaint. 

In compliance with the legal requirement of Regulation (EU) No. 1303/2013 (Common Provisions Regulation), any personal data relating to EU-funded projects in the structural fund period 2014-2020 is erased after the statutory retention period.   

Moreover, any partner revoking its consent to the processing of their personal data before the end of the statutory retention period – will be, not only denied the related funding, but also  will have to refund the Programme on any amounts already perceived.  

If you believe that your rights are not fully or partially observed, you may lodge a complaint with the data protection authority (please check contacts in the related section). 

These limits affect specifically the data stored in the applications system, list of operations and the participation and presence in funded events. All other data related to accounts, newsletters, can be erased upon your express request, sending an e-mail to the website manager (please check contacts in the related section).

How is the data collected?

We store data of different types and in several ways: 

  • E-mail, postal and telephone contacts; 
  • Newsletters subscription; 
  • Event registrations; 
  • Surveys; 
  • Contact forms; 
  • Data collected through the INCIRCLE web site and other outsourced applications.
